4. What is the System/Software Name? 

N3 AI Accounting. 

5. What is the current version number of the software? 

The current version is 1.0.0. 

6. What is the Release Number and/or Date? 

Example: Release Number 2026. The actual release number and/or release date will depend on the specific software version being registered. 

7. What is the Type of Software? 

Cloud Accounting Software

8.  Which database platform does the system use? 

The system uses Microsoft Azure SQL as its database platform. 

9. Can I generate financial reports in the system? 

Yes. Navigate to Reporting > Report Center to generate the financial reports that you intend to declare in Annex C-1. The system allows you to generate the applicable financial reports required for your CAS registration. 

10.  Which BIR forms can the system generate? 

The system currently supports BIR Forms 2550Q, 2307, 1601-EQ, 1604-E, and 0619-E. Additional BIR forms may be added through future system enhancements. For the latest available forms, please check Report Center > BIR Reports or contact our Support Team for the updated list. 

11.  Can the system generate BIR Forms 2306 and 2316? 

No. Currently, the system cannot generate BIR Form 2306 and BIR Form 2316. We are continuously enhancing the system by adding support for more BIR forms over time. 

12.  How do I generate the required Financial Statements? 

Navigate to Reporting Report Center General Ledger to generate the required financial reports. You may select the financial statement reports that you intend to declare in Annex C-1, such as the Statement of Financial Position, Statement of Comprehensive Income, and Statement of Cash Flow as applicable. 

13.  How can I generate the required sample forms? 

Navigate to the appropriate module based on the document you need to generate. For example, to generate a Sales Invoice, go to Sales Sales Invoices > Create Invoice. After saving the transaction, you can preview and print the document using the system's default report format. Follow the same process for other sample forms by accessing their respective modules. 

14.  Can the system save Books of Accounts, Financial Statements, and other system-generated reports in TXT, CSV, or DAT format? 

Yes. Navigate to the appropriate Report category based on the report you need to generate. For example, to generate a Sales Journal, go to Reporting > Report Center > Journals > Sales Book. After generating the report, you may preview, print, or export it in the available file formats, such as TXT (.txt), CSV (.csv), or DAT (.dat), where applicable. 

15.  Does the system support transaction adjustments? 

Yes. Accounts Receivable and Accounts Payable Adjustments can be processed using Credit Note and Debit Note. 

16.  Does the system handle specialized transactions like Senior Citizen (SC) or PWD discounts? 

Yes, the printed form includes signatory and ID No. fields for SC/PWD/Solo Parent transactions. However, the detailed breakdown of the discount is not shown on the default printed form. 

17. What modules are available in N3 AI Accounting? 

N3 AI Accounting includes the following standard modules:

  • General Ledger

  • Customer Module

  • Supplier Module

  • Sales Module

  • Purchase Module

  • Stock Module

  • BIR Module

These modules support the recording of accounting transactions, generation of financial reports, and production of BIR forms required for tax compliance and CAS registration.

18.  What standard documents are required for CAS registration? 

The standard documentary requirements include the completed CAS Annexes, any additional BIR documentary requirements, and the sample forms and reports declared in Annex C-1. 

19.  Is a Parent Company Certification required? 

A Parent Company Certification is required only if the software license is registered under the parent company or an affiliate company, rather than the applying taxpayer. 

20.  Do I need to submit Annex E? 

It depends on how the system is maintained:

  • If you are the end user and your company maintains the system, submit Annex C (Sworn Statement).

  • If the system is outsourced or maintained by a tax service provider instead of the taxpayer, submit the applicable Joint Sworn Statement (Annex E).

21.  Who should sign the Sworn Statement? 

The authorized representative or official signatory of the company should sign the Sworn Statement. 

22.  How do I generate the Audit Trail? 

Navigate to Company > Tools > Audit Trail to view or generate the system's Audit Trail. 

23.  How do I configure the running numbers? 

Navigate to Company Maintenance > Running Numbers. Configure the Prefix, Suffix, and Serial Number Range based on the numbering format declared in Annex C-1 to ensure compliance with your registered document numbering sequence. 

24.  How do I reflect the printed date, time, and user information on reports? 

Navigate to Company > Maintenance > Advanced Options, then open the Report tab. Under Report Information Stamp, enable Setup, then click Select All. This will display the printed date, printed time, and printed by information on applicable system-generated reports. 

25.  How do I reflect the CAS Footer details? 

Navigate to Company Company Profile > BIR > BIR CAS > BIR Accountable Forms. Then, select the applicable BIR Accountable Forms that you intend to declare in Annex C-1. Once enabled, the CAS Footer will be displayed on the corresponding accountable forms generated by the system. 

26.  Do I need to provide the server room and data center requirements in Annex B Item #11? 

No. Annex B includes Item #11 (Items J–M) which requests information related to the server room, data center, and other server infrastructure. Since N3 AI Accounting is a cloud-based accounting system, these server facilities are hosted and maintained by the cloud service provider, not by the taxpayer. Therefore, the requirements under Items J–M are not applicable and should be indicated as Cloud-Based in Annex B. 

27.  What are the technical infrastructure details of N3 AI Accounting? 

The technical infrastructure details of N3 AI Accounting are summarized below:

Data Retention: Perpetual, as long as the subscription is active. Users may access their data at any time during the subscription period.

Backup Retrieval: Database backups can be provided within one (1) working day upon request.

Data Preservation:

Point-in-Time Backups: Retained for 7 days.

Weekly Backups: Retained for 3 weeks.

Monthly Backups: Retained for 2 months.

Hardware / Network Maintenance: Outsourced Managed Server.

Service and Maintenance Agreement: QNE Software Philippines, Inc. subscription service.

Maintenance Service Provider: Microsoft Azure.


Backup and Data Recovery 

28. How does N3 AI Accounting handle backup procedures? 

N3 AI Accounting uses Azure SQL Database's automated backup capabilities to protect customer data. Backups are performed automatically and securely without requiring any manual intervention. The system uses both Point-in-Time Restore (PITR) and Long-Term Retention (LTR) backups to support data recovery and business continuity. 

29.  What is Point-in-Time Restore (PITR)? 

Point-in-Time Restore (PITR) allows a database to be restored to a specific point within the backup retention period. This is useful for recovering from accidental data changes, corruption, or deletion. Restoring a database using PITR creates a new database from the selected restore point. 

30.  How often are PITR backups performed? 

PITR backups are performed automatically every 3 to 5 minutes, depending on database activity. The first backup is created immediately after the database is provisioned, and all subsequent backups are managed automatically. 

31.  How long are PITR backups retained? 

PITR backups are retained for 7 days. 

32.  Where are backup files stored? 

Backup files are stored in Azure geo-redundant storage (RA-GRS), helping ensure backup availability for disaster recovery purposes. 

33.  What is Long-Term Retention (LTR)? 

Long-Term Retention (LTR) stores selected full database backups for extended periods to support regulatory, compliance, or business retention requirements. LTR backups are copied from automated backups and stored separately without affecting database performance. 

34.  How often are LTR backups performed? 

LTR backups are performed automatically on a weekly basis. The first backup is created after the database is provisioned, and subsequent backups are scheduled automatically. 

35.  How long are LTR backups retained? 

N3 AI Accounting retains:

Weekly LTR backups for 4 weeks

Monthly LTR backups for 2 months


Disaster Recovery 

36. How does N3 AI Accounting handle disaster recovery? 

N3 AI Accounting is designed with disaster recovery and business continuity in mind. It leverages Microsoft Azure's high availability and geo-replication capabilities to help ensure service continuity and minimize data loss during infrastructure failures or regional outages. 

37.  How does N3 AI Accounting ensure high availability? 

The database is configured for high availability using multiple database replicas. Azure automatically manages these replicas to help maintain continuous operation in the event of a failure of the primary replica. 

38.  Does N3 AI Accounting use geo-replication? 

Yes. The database is continuously replicated to a secondary Azure region (East Asia) in near real time. In the event of a major outage affecting the primary region (Southeast Asia), failover to the secondary region can be initiated to help restore operations and support business continuity. 

39.  What are the Recovery Time Objective (RTO) and Recovery Point Objective (RPO)? 

N3 AI Accounting maintains disaster recovery objectives to minimize downtime and data loss. Our goal is to restore database services and resume operations within a short timeframe following a disaster.

(If you have actual RTO/RPO targets, such as "RTO: 4 hours" or "RPO: 15 minutes," it is better to state those explicitly. Otherwise, avoid mentioning RTO/RPO without measurable values.)

40.  How long is disaster recovery data retained? 

Disaster recovery data is retained for 5 years, provided the subscription remains active. 

41.  Where is the backup data stored? 

Backup data is hosted in Microsoft Azure data centers. The primary data resides in the Southeast Asia region, with geo-replication to the East Asia region for disaster recovery purposes. 


General Information 

42. Is there a specific guide for CAS registration in ORUS? 

No. The Bureau of Internal Revenue (BIR) has not issued a specific guide exclusively for ORUS CAS registration. However, the information required during the ORUS registration process generally corresponds to the information provided in the CAS Annexes. Preparing and completing the Annexes in advance can help ensure that the necessary details are readily available during ORUS registration. 

43.  How can I verify that QNE is EIS-Ready? 

QNE Software Philippines, Inc. is EIS-Ready. In accordance with Revenue Regulations (RR) No. 26-2025, the Bureau of Internal Revenue (BIR) encourages taxpayers covered by the regulation to issue electronic invoices.

N3 AI Accounting is equipped with e-Invoicing capabilities to support compliance with the Electronic Sales Reporting System (ESRS) requirements.
